How to run a coaching class without drowning in paperwork

Most tutors do not leave teaching because they stop loving the subject. They leave because of everything around it: the register that never adds up, the fee book that lives in a drawer, the parent who asks for last month's marks on a Sunday night.

None of that is teaching. It is administration wearing a teacher's clothes.

Start with the three registers you already keep

Almost every small institute keeps the same three records, usually on paper: who came to class, who paid, and how everyone is doing. Digitising them in that order gives you the fastest relief.

• Attendance stops being a headcount you reconstruct from memory at the end of the month.
• Fees stop being an awkward conversation, because the record is already there when you need it.
• Marks stop living in one notebook you cannot afford to lose.

Give parents a place to look

Half the messages a tutor receives are requests for information that already exists. When students and parents can open the class themselves and see attendance, marks and materials, those messages simply stop arriving.

Keep the human parts human

Automate the register, not the relationship. The comment you leave on a student's journal, the way you explain a concept a third time, the note you send when someone has a bad week: none of that should be templated. Software should buy you the time to do more of it, not do it for you.

What "one system" actually means

It means a student opens one place and finds their lessons, their assignments, their marks and their teacher. It means you open one place and find your class. If your tools require you to remember which app holds which piece of your work, you have not reduced the paperwork, you have only moved it.
